POPIA Privacy Notice & Data Protection

MailOps (operated by Maponya Integrated Systems Pty Ltd) acts as an Operator (data processor) for recipient email transmission and a Responsible Party (data controller) for customer account administration.

1. Categories of Processed Data

We process customer registration information (name, email, company registration number, SARS VAT number, billing address), sending domain DNS records, recipient email addresses, transmission timestamps, TLS connection logs, and delivery outcome status codes.

2. Data Security & Encryption

All outbound email transfers are secured with TLS encryption. Inbound API requests are authenticated with SHA-256 hashed keys. Data at rest is encrypted within isolated tenant containers in South African secure facilities.

3. Data Retention & Auto-Purging

Email content is retained only for the duration configured in your subscription plan (7, 30, 90, or 365 days) and is thereafter automatically purged. Aggregate delivery metrics are retained for reporting and reputation tracking.
